Crafting a Quality Policy: The QIIN Case Study

A quality policy for QIIN
At the Quality Improvement Institute of Nigeria (QIIN), our journey toward ISO 9001:2015 certification was more than a formality; it was an opportunity to reaffirm our mission and institutional values through a well-crafted quality policy.
Clause 5.2.1 of the ISO 9001:2015 standard outlines what an organization’s quality policies must include. It must be tailored to the organization’s purpose and context, support its strategic direction, provide a framework for setting quality objectives, and include commitments to compliance and continuous improvement. Here’s how QIIN fulfilled each of these requirements with clarity and intention.
QIIN began its policy with a clear expression that weaves in its mission and vision. Although the policy does not elaborate on contextual issues, it clearly indicates that these dynamics are well documented, monitored, and reviewed.
“The Quality Improvement Institute of Nigeria (QIIN) is established for the purpose of advancing the culture of quality improvement through capacity building, research, and stakeholder engagement. QIIN thrives on evolving issues in the context of a non-governmental, nonprofit, and volunteer-driven organisation. It supports its strategic direction by empowering individuals and organisations to understand and implement national and international standards that drive quality improvement across sectors in Nigeria.”
A strong quality policy must go beyond vision; it must affirm dedication to action. QIIN’s policy simply reflects a bold and direct commitment as required by the Clauses (5.2.1 c & d):
“QIIN is committed to satisfying all applicable requirements, including ISO 9001:2015, statutory and regulatory obligations, and customer and stakeholder satisfaction, as well as the continual improvement of its quality management system.”
Despite not being mandatory, the preceding paragraphs have established the structure for achieving quality objectives. QIIN, like many organisations, voluntarily includes a closing sentence for clarity (especially for staff and external auditors); ease of reference during audits and internal reviews; and making the intent more explicit, especially in these early stages of system implementation.
“This policy provides the framework for setting and reviewing quality objectives, is communicated to all staff and stakeholders, and is periodically reviewed for continued relevance and effectiveness.”
A policy that teaches and inspires
This policy is more than just a written document; it serves as a vital resource for numerous purposes. It guides our strategic activities, drives our objectives, and serves as a teaching tool for our training programs. During ISO 9001 courses, we use it to demonstrate how theory translates into practical leadership and accountability.
